Nutrition & Meal Delivery
Medical meal delivery and MTM — compliant meal plans, allergy checks, kitchen, orders, and deliveries.
Deliver medically tailored meals with confidence — dietitians build plans checked against each client's allergies and diet codes, the kitchen sees exactly what to prepare, drivers see exactly where to go, and referrals and authorizations never fall through the cracks. Clients follow their own plan and deliveries from a portal.
Built for medical meal-delivery and MTM programs, where a wrong meal isn't a bad review — it's a safety incident.
Your dietitians can
- Build each client's meal plan against their diet codes, allergies, and restrictions
- Catch unsafe combinations before they reach the kitchen — safety checks run on the plan, not on memory
- Track referrals and authorizations end to end so covered clients stay covered
Your kitchen and ops team can
- Work a kitchen board that shows exactly what to prepare, for whom, and by when
- Turn meal plans into orders without re-keying anything
Your drivers can
- See their own deliveries — who, where, and what's in the bag
- Mark deliveries complete so ops sees status in real time
Your clients can
- See their own meal plan, orders, and delivery schedule in a portal — without calling in
You can
- Watch clients, orders, and deliveries across the whole operation from one dashboard
- Trust that Admin, Dietitian, Ops/Kitchen, Driver, and Client each see only what's theirs — enforced by row-level security

Data tables (13)
- Organizations — Your organization's profile and settings: the tenant record that every client, staff member, menu item and diet code belongs to, keeping each program's data walled off from the others.
- Staff — Your dietitians, kitchen and ops staff and drivers, each linked to their organization and portal user account so assignments and permissions follow the right person.
- Clients — The heart of the app: every client with their diet codes, allergies, assigned dietitian and portal login in one record.
- Diet Codes — Lookup of the medical diet codes a dietitian can assign to a client, referenced by meal plans and menu items so every safety check speaks the same language.
- Allergies / Restrictions — Lookup of allergens and dietary restrictions that can be attached to a client's profile, the list the allergy guard checks every meal plan and order against.
- Menu Items — Your menu catalog: every dish with its nutrition, price and compatible diet codes, so the kitchen and the safety checks work from the same source of truth.
- Meal Plans — Where dietitians build each client's plan from the menu, with allergy and diet-code checks that flag unsafe selections before anything reaches the kitchen.
- Orders — Each weekly order with its selected meals, packing-label details and linked authorization, ready for the kitchen board the moment it is confirmed.
- Deliveries — Every delivery stop with the driver, route, address and handling notes, so drivers see exactly where to go and ops sees status in real time.
- Notes / Adherence — Consult notes and adherence check-ins per client, visible only to the assigned dietitian and admins so clinical detail stays out of the kitchen.
- Referrals & Authorizations — Tracks each client's referral, payer authorization and remaining covered units, so covered clients stay covered and expiries never sneak up on you.
- Inquiries — Inbound inquiries from prospective clients, referrers and caregivers, captured from the public form and triaged by staff until they become a client or are closed.
- Audit Log — Append-only record of who viewed or changed protected client information and when, written by the app's workflows for compliance review and never edited by hand.
User roles (6)
- Admin — Runs the whole program for their organization: staff, clients, catalogs, orders, deliveries and authorizations, with a read-only audit trail.
- Dietitian — The clinical seat: builds and reviews meal plans, notes and authorizations for their own assigned clients only.
- Ops/Kitchen — The fulfillment seat: works the kitchen board, orders, deliveries and dispatch without ever seeing clinical notes.
- Driver — A mobile-friendly portal for drivers showing only their own stops, with the address, bag contents and handling notes for each one.
- Client — A self-service portal where clients follow their own meal plan, orders and deliveries and update preferences without calling in.
- Public — Visitors with no login who can submit a referral inquiry through the public signup form and nothing more.
Workflows (26)
- W1 Client onboarding and denorm — Runs the moment a client is added: assigns a dietitian, creates their portal login and sends the welcome email.
- W2 Meal Plan denorm — Runs when a meal plan is created: copies the client's access keys onto the plan so the right dietitian and client can see it, and logs the event in the audit trail.
- W2b Note denorm — Runs when a consult note or adherence check-in is saved: stamps the author and the client's access keys so it stays visible only to the right people, and logs it in the audit trail.
- W2c Referral and authorization denorm — Runs when a referral or authorization is added: links it to the client, works out the authorized units and remaining balance, and records the event in the audit trail.
- W3 Order denorm — Runs when an order is created: pulls in the client's diet code and active authorization, then builds the packing-label and production fields the kitchen board relies on.
- W4 Delivery denorm — Runs when a delivery is created: copies the client, address and handling details from the order and defaults the route to the client's zone so drivers see a complete stop.
- W5 Allergy guard - Meal Plans — Checks every dish on a meal plan against the client's allergies and diet codes as the dietitian saves it, and flags unsafe combinations before they reach the kitchen.
- W6 Allergy guard - Orders — Re-runs the allergy and diet-code safety check on every order, so a last-minute substitution can never slip an unsafe dish into the bag.
- W1b Client allergy and dietitian denorm — Keeps each client's allergy profile and dietitian contact flattened onto the client record whenever it changes, so the allergy guard and notifications always use the latest data.
- W7 Recurring order generation — Creates the next round of orders for every active client on your organization's generation day, so nobody has to key in weekly orders by hand.
- W8 Selection cutoff auto-fill — When a client has not chosen their meals by the cutoff, fills the order from their meal plan so the kitchen never waits on a missing selection.
- W9 Kitchen routing — The moment an order is confirmed, sends it to the kitchen board and creates its delivery, so nothing is re-keyed between plan, kitchen and driver.
- W10 Delivery dispatch — Each morning, moves today's deliveries onto the drivers' stop lists so every driver starts the day with a ready route.
- W11 Delivered and authorization decrement — When a driver marks a delivery complete, closes the order and deducts the delivered units from the client's authorization automatically.
- W12 Failed delivery recovery — When a delivery fails, flags it for ops and queues a redelivery attempt so a missed client is never forgotten.
- W13 Authorization expiry ladder — Watches every authorization daily and warns your team as it nears its end date or unit ceiling, then marks it expired once it lapses.
- W14 Client paused or cancelled — When a client pauses or cancels service, cancels their pending orders and records the change so no meals go out to someone who has stopped.
- W15 Inquiry received — Turns every public inquiry into an intake-queue item and notifies your administrator and ops team right away.
- W16a PHI audit - Clients edited — Writes an audit entry every time a client record is edited, so every change to protected health information is traceable for compliance review.
- W16b PHI audit - Meal Plans edited — Writes an audit entry every time a meal plan is edited, keeping a compliance trail of who changed a client's clinical plan and when.

AI agents (4)
- Intake Triage — Reads a referral inquiry and drafts the client record, diet codes and allergies for a dietitian to review, cutting intake from a form-filling session to a quick check.
- Consult Note Scribe — Turns a dietitian's quick bullets after a consult into a structured draft note, so documentation takes minutes instead of the rest of the afternoon.
- Menu Compatibility Explainer — When the safety check blocks a dish, explains exactly which allergy or diet code it conflicts with and suggests safe substitutes from your menu.
- Ops Risk Digest — A daily read-only briefing of what is about to go wrong: expiring authorizations, unfilled orders, failed deliveries and clients slipping on adherence.
